Terms & Conditions

These terms govern your use of services provided by Ghuge Immigration and Legal Services. Reading them in full helps set clear, mutual expectations.

These Terms and Conditions ("Agreement") apply to all services provided by Ghuge Immigration and Legal Services, located at 52 Village Centre Place, Suite 103, Mississauga, ON L4Z 1V9. By engaging our services, you acknowledge that you have read, understood, and agree to be bound by these terms. If any part of these terms is unclear, please reach out before proceeding.

Definitions

"Agreement"
These Terms and Conditions, together with any written engagement letter or service confirmation issued to you.
"Service" / "Services"
The administrative coordination, information, and process consulting offerings listed on our website and described in your engagement documents, including Newcomer Orientation Information Sessions, Document Checklist and Translation Coordination, and Employer Onboarding Process Consulting for HR.
"User" / "You" / "Your"
Any individual, employer, or organization that contacts, engages, or accesses services provided by Ghuge Immigration and Legal Services.
"We" / "Us" / "Our"
Ghuge Immigration and Legal Services, operating from Mississauga, Ontario, Canada.
"Content"
Materials, documents, handbooks, checklists, trackers, templates, and other written or digital items produced or distributed in the course of delivering a Service.
"Engagement"
A specific, confirmed arrangement for one or more Services, initiated by written or electronic confirmation and payment.

Acceptance of Terms

By registering for a session, requesting a coordination service, or confirming a consulting engagement, you indicate acceptance of this Agreement. Acceptance may occur through:

  • Submitting an inquiry or registration form on our website;
  • Signing or countersigning a written engagement letter;
  • Making a payment toward a confirmed service;
  • Attending a session or beginning the coordination process.
Age Requirement: You must be at least 18 years of age, or have the consent and involvement of a parent or legal guardian, to enter into this Agreement. By accepting, you confirm you have the legal capacity to do so.

Service Description

Ghuge Immigration and Legal Services offers three distinct service categories. All services are administrative, educational, or process-consulting in nature and do not constitute legal advice, representation, or regulated professional services under applicable Canadian law.

Newcomer Orientation Information Sessions

Group-format information sessions introducing participants to how administrative life is organized in Canada. Sessions run approximately 2 hours and include a printed orientation booklet. General information only — no individual file review or personal advice is provided. Delivered in English with interpreter arrangements available on request.

Document Checklist and Translation Coordination

An administrative coordination service covering checklist preparation from published requirements, translation tracking through recognized providers, consistency checks, and index preparation. Runs 2 to 4 weeks depending on scope. We coordinate; we do not assess or advise on the substance of any document.

Employer Onboarding Process Consulting for HR

An 8-week consulting engagement for employers establishing cross-border onboarding processes. Deliverables include a discovery workshop, written process handbook, editable trackers, manager training, and a post-cohort review. Operational and process scope only — individual employee matters are outside this service's scope.

Services are available to clients located in Canada. Availability for participants outside Ontario may vary and is subject to confirmation at the time of inquiry.

User Responsibilities

To allow us to deliver services effectively and in good order, you agree to the following:

  • Accurate information. You will provide complete and accurate information when registering, submitting documents, or completing intake forms. Errors or omissions that affect coordination outcomes are your responsibility.
  • Timely communication. You will respond to requests for information or document submissions within the timeframes outlined in your engagement, as delays may affect project timelines.
  • Respectful conduct. You will engage with our staff and other participants (in group sessions) respectfully. Disruptive, threatening, or discriminatory conduct may result in removal from a session or termination of an engagement without refund.
  • Lawful use. You will not use our services in connection with any activity that is unlawful under Canadian federal or provincial law.
  • Independent verification. You acknowledge that services are general and administrative. You bear responsibility for verifying specific requirements with the relevant government bodies or qualified regulated professionals before acting on any information received.

Intellectual Property

All Content produced and delivered through our Services — including orientation booklets, checklists, process handbooks, trackers, and training materials — is the intellectual property of Ghuge Immigration and Legal Services unless otherwise stated in writing.

We grant you a limited, non-exclusive, non-transferable licence to use delivered Content for your own internal purposes in connection with the engaged Service. This licence does not permit:

  • Reproduction or redistribution of materials for commercial purposes;
  • Sharing orientation booklets or handbooks with third parties outside your immediate organization without prior written permission;
  • Modification or adaptation of materials for resale or external training delivery;
  • Removal of authorship or attribution information from any document.

Our website content, branding, and design elements are protected under Canadian copyright law. You may not copy or reproduce them without written consent.

Payment Terms

  • All fees are stated in Canadian Dollars (CAD) and are due at the time of booking unless a payment schedule is confirmed in writing for consulting engagements.
  • Accepted payment methods will be confirmed at the time of engagement. We do not store payment card information.
  • Cancellations and Refunds: Cancellations made more than 5 business days before a scheduled session or start date may be eligible for a full refund minus an administrative fee of CAD 25. Cancellations within 5 business days are non-refundable. For multi-week engagements, fees paid for work already delivered are non-refundable.
  • We reserve the right to revise pricing for future engagements. Changes do not apply to confirmed bookings already paid.

Service-Specific Terms

Orientation Sessions

  • Registration is on a first-come, first-served basis. Capacity is limited per session.
  • Session date and location are confirmed by email after registration and payment.
  • Interpreter coordination is arranged on request and subject to availability; additional lead time may be required.
  • Recording of sessions (audio or video) by participants is not permitted without prior written consent.

Document Checklist and Translation Coordination

  • Timelines of 2 to 4 weeks are estimates based on average document volumes. Delays caused by third-party translation providers or late document submission are outside our control.
  • Progress updates are provided at agreed intervals. You are responsible for reviewing each update and flagging discrepancies promptly.
  • We coordinate with recognized translation providers; we do not perform translations ourselves and cannot be responsible for the accuracy of a third-party translation.
  • Scope is limited to the document set described at the time of engagement. Additional items require a scope adjustment and may affect the timeline and fee.

Employer Onboarding Process Consulting

  • The engagement runs approximately 8 weeks from the discovery workshop date, which is scheduled by mutual agreement.
  • Deliverables include a written process handbook, editable trackers, and one post-cohort review session. Additional workshops or revisions beyond the agreed scope are billable separately.
  • You are responsible for securing the availability of relevant HR staff and managers for workshop sessions.
  • Process recommendations are based on your disclosed operational context. We are not responsible for outcomes where key information was not provided during the engagement.
  • Deliverables remain confidential to your organization and are covered by the intellectual property terms above.

Disclaimers

Services are provided for general administrative and informational purposes. The following limitations apply:

  • Not legal advice. Nothing provided through our services constitutes legal advice, immigration advice, or regulated professional services. We do not represent clients before any tribunal, government body, or court. For matters requiring regulated legal services, you should consult a licensed immigration lawyer or regulated immigration consultant.
  • Information currency. Administrative processes, published requirements, and government portal structures change. We make reasonable efforts to keep orientation content current, but we cannot warrant that information provided in a session reflects the most recent government guidance at the time you act on it.
  • Third-party services. Translation providers and other third parties engaged as part of document coordination operate independently. We do not warrant their output and are not liable for delays, errors, or costs attributable to their work.
  • No outcome assurance. We do not promise any particular administrative outcome, approval, or decision by any government body. Our role is to support your organizational readiness and document preparation, not to influence or predict government decisions.

Limitation of Liability

To the fullest extent permitted by applicable law in Ontario, Canada:

  • Our total liability for any claim arising from a specific engagement will not exceed the fee paid for that engagement.
  • We are not liable for indirect, consequential, incidental, or special damages, including lost business opportunities, delays in government processing, or costs incurred as a result of relying on information provided in an orientation session.
  • We are not liable for events outside our reasonable control, including but not limited to government policy changes, natural events, service interruptions by third-party platforms, or translator unavailability (force majeure).

Indemnification

You agree to indemnify and hold harmless Ghuge Immigration and Legal Services, its staff, and contractors from any claims, costs, losses, or damages (including reasonable legal fees) arising from: (a) your misuse of services; (b) inaccurate or incomplete information you provided; (c) your breach of this Agreement; or (d) any unlawful action taken by you in connection with the services received.

Termination

Either party may end an engagement by written notice. The following applies:

  • If you terminate a multi-week engagement before completion, fees for work already delivered are non-refundable.
  • We may terminate an engagement immediately if you breach these terms, behave in a manner that is disruptive or disrespectful, or provide materially false information.
  • On termination, your licence to use delivered Content remains, but we have no obligation to provide further deliverables.
  • Sections covering intellectual property, disclaimers, limitation of liability, indemnification, and dispute resolution survive termination.

Dispute Resolution

This Agreement is governed by the laws of the Province of Ontario and the applicable laws of Canada, without regard to conflict of law principles.

  1. Informal resolution first. If a concern arises, please contact us at [email protected]. We will make a genuine effort to address it within 10 business days.
  2. Mediation. If informal resolution is unsuccessful, both parties agree to attempt resolution through a mutually agreed mediator in Peel Region, Ontario before initiating any formal proceeding.
  3. Jurisdiction. Any proceeding that cannot be resolved through the above steps will be brought in the courts of Ontario, and both parties consent to the jurisdiction of those courts.

Ontario consumers may also contact the Ontario Ministry of Public and Business Service Delivery for guidance on consumer protection matters.

General Provisions

Entire Agreement
This Agreement, together with any written engagement letter or service confirmation, constitutes the full agreement between you and Ghuge Immigration and Legal Services regarding the subject matter herein.
Severability
If any provision of this Agreement is found unenforceable by a court of competent jurisdiction, the remaining provisions continue in full effect.
Waiver
Our failure to enforce any provision of this Agreement does not constitute a waiver of our right to enforce it in the future.
Assignment
You may not assign your rights or obligations under this Agreement without our prior written consent. We may assign this Agreement in connection with a change in business structure.
Notices
Written notices under this Agreement may be sent by email. Notices to us should be addressed to [email protected]. Notices to you will be sent to the email address provided at the time of registration.

Changes to These Terms

We may update these Terms from time to time. When we do, we will:

  • Update the "Last Updated" date at the top of this page;
  • Notify registered clients by email where changes are material;
  • Post the revised terms on this page at least 14 days before they take effect for ongoing engagements.

Continuing to use our services after the effective date of updated terms constitutes acceptance of the revised Agreement. If you do not agree to the changes, you may terminate your engagement in accordance with Section 11.
