Case 01

From orientation to document coordination β€” a two-stage journey

Challenge

A couple arriving from the Philippines in early August had no familiarity with how Canadian administrative systems worked. They knew they needed to assemble documents but were unsure of the order, the translation requirements, or where to find public information portals for their local area.

What We Did

They attended the orientation session first, which gave them a working understanding of address systems, appointment booking, and community services. Three weeks later, they engaged us for document coordination. The checklist was built from published requirements; translations were arranged through a recognised Ontario provider; the completed bundle was delivered in 3.5 weeks.

Outcome

Case 02

An employer that hired across four countries in one year

Challenge

A mid-sized logistics company in Mississauga had hired from four countries in twelve months. Each cohort had a slightly different onboarding experience depending on which HR staff member was available. Managers reported confusion about document collection timing. Two new hires from the same cohort had a gap of three weeks between arrival and full access to workplace systems.

What We Did

The eight-week consulting engagement began with a discovery workshop that mapped the current process against intended practice. We identified three specific gaps in document collection sequencing and reminder scheduling. The written handbook standardised the process; the tracking register gave HR a single place to monitor each hire's progress; the manager training covered the 90-day orientation plan structure.

Outcome

The first cohort after implementation had complete system access on day two for every hire. The post-cohort review identified one tracking register field that needed adjustment, which was made before the second cohort arrived. The HR manager described the handbook as the most useful HR document they had produced that year.

Case 03

A complex document bundle across three countries of origin

Challenge

A professional who had lived and worked in three countries before arriving in Canada needed a document bundle that included records from each jurisdiction. Some documents were in Arabic, some in French, and some required certified translation rather than standard translation. The requirements list was long and the documents were at various stages of completeness.

What We Did

We built a personalised checklist from the published requirements and identified which items required certified translation versus standard translation. We coordinated translation through two recognised providers with capacity in Arabic and French. Progress notes were sent at each stage: checklist confirmed, translations ordered, translations received and checked, index prepared, bundle delivered.

Outcome

The completed bundle was delivered in four weeks. The client described the indexed structure as making the submission process considerably more straightforward than they had anticipated. All translation providers used were recognised; no documents required re-translation.
